Job description & requirements

The Traffic Executive is responsible for coordinating project workflows, managing resource allocation, and ensuring smooth collaboration across departments to deliver projects on time and with high quality.

Working closely with the Managing Director, this role also supports agency operations by providing project visibility, monitoring team capacity, identifying workflow improvements, and participating in strategic initiatives when required.

Key Responsibilities

Traffic & Resource Coordination

  • Coordinate the workflow across Account, Planning, Creative, Media, Production, and other teams to ensure projects are delivered on time.
  • Review incoming briefs and prioritize projects based on urgency, business priorities, and resource availability.
  • Allocate and coordinate resources in collaboration with team leads to optimize workload and project delivery.
  • Monitor project progress, identify potential bottlenecks, and proactively escalate risks when necessary.
  • Maintain and update project schedules, resource plans, and traffic reports to ensure visibility across teams.
  • Coordinate internal meetings, brainstorm sessions, and project timelines to support efficient collaboration.

Operational Support

  • Work closely with the Managing Director to provide visibility into project status, team utilization, and overall operational performance.
  • Consolidate project updates, workload reports, and operational dashboards to support business decision-making.
  • Follow up on cross-functional action items and ensure alignment between different departments.
  • Support agency operational initiatives and perform other assignments as requested by the Managing Director.

Process Improvement & Business Support

  • Identify opportunities to improve workflow efficiency, resource utilization, and project management processes.
  • Assist in developing and documenting internal workflows, templates, and operational best practices.
  • Support new product or service development through research, coordination, and implementation when required.
  • Contribute ideas that enhance collaboration, productivity, and overall agency operations.

Job Requirements

  • Bachelor's degree in Business Administration, Marketing, Communications, Advertising, or related fields.
  • Minimum 1–2 years of experience in Traffic, Project Coordination, Operations, or Account Management within an advertising, media, or creative agency.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Excellent communication and coordination skills with cross-functional teams.
  • Strong attention to detail, problem-solving ability, and a proactive mindset.
  • Comfortable working in a fast-paced environment with changing priorities.
  • Proficient in Microsoft Office, Google Workspace, and project management tools (e.g. Notion, ClickUp, Asana, Monday.com, Trello) is a plus.
  • Good command of English is an advantage.
