Job description & requirements

As an Account Coordinator (Trainee), you will support the smooth execution of agency operations by coordinating project workflows, managing freelancer administration, and ensuring seamless communication across internal teams. This role is ideal for someone who enjoys organization, problem-solving, and working in a fast-paced agency environment.


WHAT YOU WILL DO

1. Freelancer Administration (30%)

  • Collect and process freelancer documentation, including contracts and payment-related paperwork.
  • Coordinate with relevant stakeholders to ensure timely freelancer payments.

2. Traffic & Workflow Coordination (60%)

  • Attend project briefings to understand project scope and timelines.
  • Track project progress across Account, Strategy, and Creative teams.
  • Consolidate weekly Work-in-Progress (WIP) reports and update project status.
  • Follow up with internal teams on deliverables and project timelines.

3. Freelancer & Vendor Coordination (10%)

  • Support the maintenance of the agency's freelancer and third-party vendor database.
  • Assist in sourcing freelancers and coordinating external resources when required.


WHAT YOU WILL NEED

  • Around 1 year of experience in an advertising agency, preferably in Account, Operations, Administration, Project Coordination, or related functions.
  • Good understanding of agency workflows. Candidates with experience in Internal Communications or People & Culture Development are also encouraged to apply.
  • Experience handling administrative paperwork for freelancers or third-party vendors, including contracts, acceptance certificates, and related documentation.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and coordinate effectively with cross-functional teams, including Account, Strategy, and Creative.
  • Detail-oriented, well-organized, eager to learn, and able to communicate with transparency and integrity.
