Job description & requirements

Objectives

As an Enterprise Systems Business Analyst, you will play a critical role in building the digital backbone of PMAX. Your mission is to digitize and optimize internal operations by designing and enhancing the core ERP system that powers the entire organization. You will act as the bridge between internal stakeholders (Finance, HR, Operation, Media Teams) and the Tech team, translating complex operational needs into seamless system workflows. You ensure that our internal systems—covering CRM, Billing, Accounting, and HRM—operate accurately, efficiently, and automatically, minimizing manual work and maximizing operational excellence.


Job Description

System Analysis & Operational Optimization (40%)
  • Collaborate with Internal Stakeholders: Work closely with Finance, Operations, HR, and Business teams (Media, Account) to bridge the gap between Agency operations and internal systems… to elicit requirements, understand their daily operational pain points, and identify bottlenecks in current manual processes.
  • Workflow Standardization: Re-think and standardize fragmented operational procedures into logical, efficient system workflows.
  • Core Modules Focus:
  • Finance & Billing: Streamline data flow for contracts, invoicing, cost allocation, and revenue recognition to ensure financial accuracy.
  • Resource & HRM: Design features for resource planning, KPI tracking, and payroll data integration.
  • CRM Integration: Ensure seamless data synchronization between Sales/CRM activities and backend financial systems.
Solution Design & Documentation (30%)
  • Requirements Translation: Convert business requirements into high-quality technical documentation, including Software Requirements Specifications (SRS), User Stories, and Use Cases.
  • Visualization: Create clear BPMN diagrams, flowcharts, and wireframes/mockups to visualize solutions for both stakeholders and developers.
  • System Thinking: Perform Impact Analysis to evaluate how changes in one module (e.g., CRM) affect other interconnected modules (e.g., Accounting), ensuring system integrity.
  • Data Logic: Define clear data validation rules and logic to prevent errors in financial and operational reporting.
Delivery Management & Quality Assurance (20%)
  • Agile Collaboration: Partner with UI/UX Designers and Developers in an Agile/Scrum environment to deliver features on time and with high quality.
  • UAT & Verification: Develop test cases and conduct User Acceptance Testing (UAT) to verify that the developed features meet business requirements and operational logic.
  • Data Verification: Independently perform basic data checks (using SQL is a plus) to validate calculation logic before release.
Training & Support (10%)
  • User Guides: Create comprehensive user manuals and documentation for new features.
  • Training: Conduct training sessions for internal users to ensure smooth adoption of the system.
  • Support: Troubleshoot and resolve L2/L3 issues related to system logic during operation.


Job Requirements

  • Experience & Expertise
  • 2.5 – 4 years of experience as a Business Analyst (Experience in internal systems or software products is a must).
  • Strong System Thinking: Ability to understand how a change in the CRM module impacts the Billing/Accounting modules.
  • Proficiency in business process modeling and mockup tools (Figma, Balsamiq, Draw.io, or similar).
  • Basic SQL knowledge to independently verify data without full reliance on developers.
  • Domain Expertise: Proven experience in analyzing and implementing internal systems such as ERP, CRM, HRM, Accounting Software, or custom Operation Management Tools.
  • Skills & Knowledge
  • Stakeholder Management: Ability to negotiate and align processes across different departments.
  • Extreme Ownership: High sense of responsibility to drive results. A proactive mindset to master new domains (e.g., Digital Marketing conceptsAgency Operation flows or Accounting principles) to effectively communicate with business stakeholders.
  • Analytical Thinking: Strong logical thinking with a focus on system processes, data flow, and operational efficiency.
  • Documentation: Proficiency in writing detailed SRS/User Stories and using modeling tools (e.g., Draw.io, Figma, Visio).
  • Communication: Excellent communication skills to work effectively with both non-tech stakeholders (Finance, HR) and technical teams.
  • Attention to Detail: High level of meticulousness, especially when dealing with financial data logic and system workflows.
  • Nice-to-have
  • Basic understanding of Accounting principles or Corporate Finance processes (Invoicing, Cash flow, Revenue recognition).
  • Experience with SQL for data querying and analysis.
  • Experience in an Agency environment or a deep understanding of Digital Marketing.
  • Knowledge of corporate accounting or Billing/Invoicing workflows.
  • Tech-savvy: Curiosity and agility in adopting new AI tools to multiply productivity.
  • Understanding of Digital Marketing industry or experience working in Advertising Agencies is a big plus (to understand how Media/Account teams operate).
